Sample product delivery and customs clearance for business

You need to get a sample to a client or receive samples from a supplier quickly, but regular delivery is slow and unprepared documents cause customs delays. SEMERO arranges delivery of 0.1–10 kg samples via DHL and FedEx and prepares the customs paperwork so the parcel clears without extra days.

How sample delivery and clearance works

  1. 01

    WhatsApp consultation before shipping

We clarify the goods, value, documents and destination before the parcel leaves. Most customs delays are eliminated at this step.

  2. 02

    Document preparation

We help you prepare the invoice and description so customs gets an unambiguous picture of the goods — no back-and-forth clarifications during clearance.

  3. 03

    Dispatch via DHL or FedEx

The main carriers with full logistics in Ukraine. Pickup at your address or drop-off at a terminal, tracking by tracking number at every stage.

  4. 04

    Customs clearance in Kyiv

All DHL and FedEx parcels are cleared at the central hub in Kyiv, regardless of the destination city. The customs warehouse allows 3 days of free storage — enough to complete the paperwork without extra payments.

  5. 05

    Delivery to the recipient

After release the parcel goes to the recipient's address. We share the waybill and clearance status, so you always know where your sample is.

Questions about sample delivery and clearance

How do I ship product samples abroad?

We start with a WhatsApp consultation: we discuss the goods, value and documents. Then we prepare the invoice, ship the samples via DHL or FedEx and follow the shipment through to delivery in any of the 220+ countries in the express network. Samples typically weigh 0.1–10 kg, so the express format fits almost every case.

How is customs clearance of samples imported into Ukraine handled?

DHL and FedEx parcels are cleared at the central hub in Kyiv, even if the recipient is in another city. The customs warehouse allows 3 days of free storage: within that time we file the documents and clear the cargo without extra payments. To make use of those days, we prepare the documents in advance, before the parcel arrives.

Can test samples be sent by express delivery (DHL/FedEx)?

Yes, this is the standard format for test samples: light weight, fast transit and tracking. DHL and FedEx operate with full logistics in Ukraine. UPS does not operate directly in Ukraine — in individual cases, on favorable supplier terms, an option via a bonded warehouse in Slovakia, Poland or Hungary with a T1 transit declaration is possible, but it is more expensive. For most samples DHL or FedEx is the best choice.

How do I declare product samples without a high declared value?

We advise how to correctly prepare the documents for samples — invoice, description and value — so they clear customs lawfully and quickly. The declared value must match the supplier's documents: customs makes its decision based on them, so we don't promise a specific payment amount, but we help prepare the paperwork so clearance goes through without delays and extra questions.

What is needed to clear samples brought in for certification?

The basic set is a commercial invoice, goods description, HS code and payer details. For certification samples, documents confirming the purpose of the shipment are often required. We are a licensed customs broker since 2015, and our specialists have 16 years of experience clearing DHL and FedEx shipments specifically, so we will tell you which documents apply in your case.

What are the specifics of delivering agricultural samples?

For certain categories of goods, including agricultural products, additional requirements may apply — for example, phytosanitary documents. The list depends on the goods, the destination and the supplier's terms. We help you navigate these requirements before shipping, so the parcel doesn't get stuck at customs over a missing document.

Can I send fabric, material or parts samples by courier?

Yes, small samples of fabrics, materials, components and parts are typical express shipments. It's important to pack the samples securely and describe them accurately in the invoice: a precise description and weight speed up inspection. For parts we'll advise the HS code so there are no questions at customs.

Not sure how to clear your sample?

Message us on WhatsApp before shipping — we'll go over the goods and documents while the parcel is still not in transit.
